The Power of Asking Questions: How Better Business Conversations Build Rapport and Credibility

What Nobody Tells You: Questions Can Damage Credibility Too

Questions are not automatically intelligent. Some expose laziness, manipulation or a failure to listen.

Repeating something that was answered five minutes earlier tells the speaker that their words were treated as background sound. Asking a question whose answer could have been found in the first line of the brief signals poor preparation. Packing an accusation into a question—“Why has your team failed to manage this properly?”—is not inquiry; it is a verdict with a question mark attached.

Rapid-fire questioning can also make a conversation feel like an audit. If every answer immediately triggers an unrelated question, the other person is not experiencing curiosity. They are experiencing extraction.

The correction is simple but demanding: listen for the content, intent and concern behind the answer before deciding what to ask next. Guidance on active listening from the National Library of Medicine describes feedback and clarification as essential parts of mutual understanding. In practice, that means occasionally reflecting the meaning before advancing:

“If I understand correctly, price is not your primary concern; uncertainty about delivery is. What would give you enough confidence to proceed?”

That sentence demonstrates listening, checks interpretation and asks permission to go deeper—all without wasting time.

How to Ask Without Sounding Scripted

Beginning with a sincere positive observation can reduce friction, but manufactured praise is transparent. “You have built an impressive distribution network; where does it become hardest to maintain service quality?” works because the observation connects directly to the question. Empty flattery followed by a sales probe does not.

Open-ended questions are useful when discovery is needed, while closed questions are useful when confirmation is required. “What concerns you about implementation?” opens the field. “Is the September deadline fixed?” establishes a boundary. Competent questioning uses both.

Indirect language can make sensitive subjects easier to discuss, yet excessive indirection creates ambiguity. Instead of asking a client’s private salary, ask what compensation range the role must support. Instead of demanding whether the company can afford the proposal, ask what investment band has been approved. Tact means obtaining relevant information without claiming entitlement to irrelevant details.

Nonverbal behaviour matters as well. Looking at a phone while asking an open-ended question cancels the message of interest. Interrupting the answer to prove expertise makes the question appear performative. Steady eye contact, an attentive posture, appropriate pauses and concise notes signal that the response has value.

A Practical Sequence for Your Next Client Meeting

A productive conversation can move through four stages without feeling like a questionnaire.

Begin with context: “What changed recently that made this issue urgent?” Then deepen through follow-up: “You mentioned repeated delays—where do they begin?” Test consequences: “What happens commercially if nothing changes this quarter?” Finally, establish direction: “What would a successful first phase need to achieve?”

The movement is deliberate: context reveals the situation, follow-up exposes the mechanism, consequence establishes importance and decision converts understanding into action.

The most valuable question will often emerge from the answer you did not expect. A prepared list should therefore guide the meeting, not imprison it.
